Privacy Policy
How DataRipple collects, uses, stores, and protects information when you use our Business Operating System and related services.
1. Who We Are
DataRipple (“DataRipple,” “we,” “us,” or “our”) provides a Business Operating System that connects customer, job, and financial workflows into a single system of record. This Privacy Policy explains how we handle information collected through our websites (including dataripple.com and ripplecore.dataripple.com), our application, and any related services (collectively, the “Services”).
By accessing or using the Services, you agree to the practices described here. If you do not agree, please do not use the Services.
2. Information We Collect
2.1 Information you provide
- Account information. Name, business name, email, phone number, role, and password when you create an account or book a demo.
- Billing information. Payment details processed by our payment provider; we do not store full card numbers on our servers.
- Business data. Customer records, jobs, estimates, invoices, change orders, notes, documents, and any other content you or your team submit to the platform.
- Communications. Messages you send us through forms, email, chat, or support.
2.2 Information collected automatically
- Usage data. Pages viewed, features used, clicks, timestamps, referring URLs, and similar telemetry.
- Device data. IP address, browser type, operating system, device identifiers, and approximate location derived from IP.
- Cookies and similar technologies. First and third-party cookies, local storage, and pixels used for session management, analytics, and product improvement.
2.3 Information from third parties
If you connect an integration (e.g., calendar, email, payments, CRM, accounting), we receive data from that provider on your behalf, in the scope you authorize. We may also receive contact details from event partners, referrals, or publicly available sources.
3. How We Use Information
- Provide, operate, secure, and improve the Services.
- Authenticate users, prevent fraud, and protect the platform.
- Process payments and manage subscriptions.
- Respond to support requests and communicate about your account.
- Send product updates, security notices, and (where permitted) marketing messages you can opt out of at any time.
- Analyze usage to develop new features, debug issues, and improve performance.
- Comply with legal obligations and enforce our terms.
4. AI and Automated Processing
Parts of the Services use machine learning and large language models to summarize, classify, route, and respond to business data. When you use these features:
- We send the minimum data required to complete the requested operation to our model providers (which may include OpenAI, Anthropic, Google, or similar vendors operating under enterprise data-processing agreements).
- We do not authorize model providers to use your content to train their general-purpose models, and we configure integrations to disable training where the provider offers that control.
- AI output may be incomplete or incorrect. You are responsible for reviewing AI-generated content before relying on it for business decisions.
5. How We Share Information
We do not sell your personal information. We share information only in these circumstances:
- Service providers (subprocessors). Hosting, storage, analytics, email delivery, payment processing, customer support, and AI model providers acting on our behalf under contractual confidentiality and security obligations.
- Your integrations. When you authorize a third-party integration, we exchange data with that provider in line with the permissions you granted.
- Within your organization. Other authorized users in your DataRipple workspace.
- Legal and safety. When required by law, subpoena, or to protect the rights, property, or safety of DataRipple, our customers, or the public.
- Business transfers. In connection with a merger, acquisition, financing, or sale of assets, subject to confidentiality protections.
6. Data Retention
We retain account and business data for as long as your account is active and as needed to provide the Services. After termination, we retain data for a limited period to support reactivation, dispute resolution, and legal requirements, then delete or de-identify it. You may request earlier deletion as described in Section 9.
7. Security
We use industry-standard administrative, technical, and physical safeguards designed to protect your information, including encryption in transit, encryption at rest for sensitive fields, least-privilege access controls, audit logging, and regular reviews of our infrastructure. No system is perfectly secure, and we cannot guarantee absolute security.
8. International Transfers
We operate from the United States. If you access the Services from outside the U.S., your information may be transferred to, stored in, and processed in the U.S. or other jurisdictions where we or our service providers operate. We rely on appropriate safeguards (such as standard contractual clauses) where required by law.
9. Your Rights and Choices
Depending on where you live, you may have the right to:
- Access the personal information we hold about you.
- Correct inaccurate or incomplete information.
- Request deletion of personal information.
- Object to or restrict certain processing.
- Receive a copy of your information in a portable format.
- Withdraw consent where we rely on consent to process your data.
- Opt out of marketing emails using the unsubscribe link in any message.

10. Customer Workspaces
If you use DataRipple as part of an organization, that organization controls your workspace. Requests to access, correct, or delete data inside an organization’s workspace should be directed to that organization first. We will support our customers in responding to such requests.
11. Children
The Services are not intended for individuals under 16. We do not knowingly collect personal information from children. If you believe a child has provided us with information, please contact us and we will delete it.
12. Cookies and Tracking
We use cookies and similar technologies for essential site functions, analytics, and to remember your preferences. You can control cookies through your browser settings. Disabling certain cookies may affect functionality.
13. Third-Party Links
Our Services may link to third-party sites or services. This Privacy Policy does not apply to those properties; please review their privacy policies separately.
14. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the effective date above and, where required, provide additional notice (such as an in-product message or email). Continued use of the Services after changes take effect constitutes acceptance of the updated policy.
